Initiate & Research

This phase of the lifecycle is where you broadly define the project. The primary objective and its associated goals are identified, as well as outlining the necessary resources required. The subsequent activities can be carried out to assist in this process.

Kick-Off Meeting

The project's initial meeting, commonly known as the project kick-off meeting, marks the first interaction between the project team and the client. This gathering serves as the platform for defining shared objectives and the project's purpose. Your kick-off session presents a chance to familiarize the team with the task ahead and determine the collaborative approach for the project.

In the kick-off meeting we will:

  • Discuss the overall project plan including timelines
  • Establish key contacts
  • Identify roles and discuss top-level objectives
  • Identify adjacent projects which may impact the intranet project
  • Identify existing networks of staff as research participants and/or potential intranet testers
  • Identify risks or concerns
  • Discuss items in New Intranet Requirements Manual (SW-MAN-002) if applicable
  • Clarify next steps

Governance

Project governance pertains to constructing a sturdy structure aimed at ensuring favorable project outcomes. This encompasses overseeing the progression of activities and making well-informed judgments regarding a project's viability, efficiency, and influence.

  • It provides guidance for your strategy.
  • It ensures control over time, budget, and scope.
  • It eradicates duplicate tasks and projects.
  • It allows for the establishment of accountability for completed work.

Content Proposition

For new intranets

Engage with senior management to define your perspectives on what should or should not be included on the intranet. This insight can be valuable for organizing your content through audits and user research. It's important to note that while this document sets initial boundaries for determining intranet content, audits and user research may uncover additional areas of content to consider.

For existing sites

Comprehending your existing content and planning for the integration of new material is essential to ensure seamless user access and discovery. Depending on the project's scale, this framework can be identified within the project plan rather than as a separate document.

New Intranets

Base Intranet Site

For new intranets, SMLWRLD will create a base intranet site which will be provided to the Project Team. Functionality on the base site may include:

  • Homepage
  • Directory
  • News & Events
  • Staff Noticeboard
  • File Share

The base intranet site serves as a starting point from which further customisation and site development will be built upon. This intranet:

  • is accessible to the project team only
  • is branded with SMLWRLD colours and logo
  • does not contain client-specific content
